Customer Data: the records you or your organisation input into the Service, such as resident, member, tenant, patient, or inventory records, depending on the product used.
Billing information: plan selected, billing history, and subscription status. Card and payment details are collected and processed directly by our payment processor, Paddle.com Market Limited — Pulse does not store full card numbers.
Usage data: log data, device and browser information, and interactions with the Service, collected automatically to help us maintain and improve it.
Communications: messages you send us via email, WhatsApp, or in-app support, kept to respond to your requests and improve our support.

2. How We Use Information

To provide, operate, and maintain the Service, including billing and subscription management.
To send transactional communications, such as billing receipts, WhatsApp payment reminders configured by your organisation, and service notices.
To provide customer support and respond to enquiries.
To improve the Service, including monitoring performance and diagnosing issues.
To detect, prevent, and address fraud, security, or technical issues.
To comply with legal obligations.

3. How We Share Information

We do not sell your personal information. We share information only with:

Payment processors — Paddle.com Market Limited, which acts as merchant of record for subscription payments and processes related billing and tax information under its own privacy policy.
Service providers — hosting, infrastructure, messaging (e.g. WhatsApp Business API), and analytics providers who process data on our behalf, under contractual confidentiality obligations.
Legal and safety purposes — where required to comply with law, enforce our Terms of Service, or protect the rights and safety of Pulse, our customers, or others.

We do not share Customer Data (e.g. resident, member, patient, or tenant records) with third parties except as described above or as instructed by the Customer that owns that data.

4. Cookies

Our website uses essential cookies required for the site to function, and may use analytics cookies to understand how visitors use the site. You can control cookies through your browser settings; disabling them may affect some site functionality.

5. Data Retention

We retain account and Customer Data for as long as your subscription is active and for a reasonable period afterward to comply with legal, accounting, or reporting obligations, after which it is deleted or anonymised.

We apply reasonable technical and organisational measures — including encryption in transit, access controls, and regular backups — to protect information against unauthorised access, loss, or misuse. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
